Senior Venue Sourcing Executive

Our amazing Venue Sourcing team is looking for a Senior Venue Sourcing Executive to joint them as maternity cover on a 9month FTC. As a world class conference company our Venues team is responsible for sourcing and liaising with international venues to host our incredible events. We're looking to develop someone with amazing organisational skills, a passion for working with others and negotiating and the drive to build a long-term career.
Responsibilities
You'll be responsible for multiple and simultaneous venue searches, working towards set deadlines and budgets. You'll work with various internal and external stakeholders.
You will:
- Be responsible for end to end venue sourcing and contracting designated by the Head of Venues.
- Working with the project team to understand event objectives, agenda, flow and space requirements; creating venue brief.
- Issuing RFPs to market using the Cvent Supplier Network.
- Reviewing and managing all incoming proposals in line with the business request and criteria.
- Presenting venue options and comparisons to internal stakeholders, ensuring each event has suitable space.
- Manage multiple stakeholders' expectations by keeping them informed at all stages of venue search.
- Request internal customer feedback and report on venue and customer scores for future use.
- Monitor and tracking sales, overall revenue and event size to assist decision making and contract criteria.
- Negotiate rates and terms and conditions with venue (DDR, F&B mins, room blocks, room hire etc.) to ensure costs remain within budget and mitigate risk.
- Obtain the relevant approval from Head of Venues and CFO.
- Review venue contracts and amend where necessary.
About you:
- Proactive and enthusiastic approach to all venue requests and objectives. Consistently offering flexibility and a positive attitude.
- Ability and willingness to adapt to and support the team through changing requirements. Including venue requests, event tracking, systems, tools and processes.
- Exceptional interpersonal and communication skills with a warm and personable attitude
- Superb attention to detail and ability to present ideas and results clearly and effectively.
- Ability to prioritise responsibilities and efficiently manage time, with resilience to pressure and multiple deadlines.
- Self-motivated with the ability to work independently and as a team player.
- Superb attention to detail, particularly while communicating and reviewing contracts.
- Understanding of the commercial impacts of venue sourcing and how that aids venue selection.
Desired Experience:
- At 1 full years' experience in a venue sourcing role within the MICE industry.
- Higher education degree or similar.
- Proficient using PowerPoint, Word and Excel.
- Desirable but not essential – experience using Salesforce and Cvent Supplier Network.

£30,000 - £33,000 + Bonus
