Venue Sourcing Executive

We are looking for a graduate with a can-do attitude who has an interest and passion for events and venue sourcing to join our Venue Sourcing team on a 9 month fixed term contract.
The Venue Sourcing Executive is responsible for multiple and simultaneous venue searches, working towards set deadlines and budgets. The role entails working with and communicating effectively with various internal and external stakeholders.
Responsibilities:
- Responsible for end-to-end venue sourcing and contracting designated by the Head of Venues.
- Working with the project team to understand event objectives, agenda, flow and space requirements; creating venue brief.
- Issuing RFPs to market using the Cvent Supplier Network.
- Reviewing and managing all incoming proposals in line with the business request and criteria.
- Presenting venue options and comparisons to internal stakeholders, ensuring each event has suitable space.
- Managing stakeholders' expectations by keeping them informed at all stages of venue search.
- Monitor and tracking sales, overall revenue and event size to assist decision making and contract criteria with the support of the HoV.
- Negotiate rates and terms and conditions with venue (DDR, F&B mins, room blocks, room hire etc.) to ensure costs remain within budget and mitigate risk.
- Obtain the relevant approval from Head of Venues and CFO.
- Review venue contracts and amend where necessary.
Knowledge skills and abilities:
- Proactive and enthusiastic approach to all venue requests and objectives. Consistently offering flexibility and a positive attitude.
- Ability and willingness to adapt to and support the team through changing requirements. Including venue requests, event tracking, systems, tools and processes.
- Strong interpersonal and communication skills with a warm and personable attitude.
- Strong attention to detail and ability to present ideas and results clearly and effectively.
- Ability to prioritise responsibilities and efficiently manage time, with resilience to pressure and multiple deadlines with support from HoV.
- Self-motivated with the ability to work independently at stages and as a team player.
- Proficient using PowerPoint, Word and Excel.

Salary £27,000 + bonus
